Getting the best out of exhibiting at a Wedding Show

All business owners, especially those in the start-up phase, preparing for their first ‘wedding show’ can be a very scary and frustrating time. What do we take for our wedding show display and how do we present it?

You first need to find out the specifics of the wedding show you are registered for or considering exhibiting in. If necessary, contact the organisers of the event and get details on the type of visitors that the show attracts and the layout of the area you will have to display your business.

Be sure to find out the size of the wedding show display table you will have, whether there is wall space for your company sign, if there are electrical outlets available, and anything else that may or may not be included (i.e., a tablecloth, etc.).

Once the show space specifics have been established, then you can move on to deciding what to take and how you can ‘show your stuff.’ The following are just a few ideas to help you get ready for that all important wedding show. (Note: most of these show display ideas are based on being in the service industry but will work for products industry companies as well.)

Make Your Display Table Stand Out

If the wedding show display table you have does not include a tablecloth, be sure to get one that complements your display and represents your company’s image and colour scheme (without being overpowering). Even if a tablecloth is supplied, bring your own or something to add some depth to your table (i.e., a table runner). this will help your table will definitely stand out in a crowd.

Display Your Company Name Clearly

Rollup banners, or perhaps people may know them as premium pull up banners , banner display stands, retractable banners, are marketing tools used by small, medium, and large businesses alike as a form of tangible advertisement and a way of clearly displaying who you are!. Consider your service and how your name can be displayed to reflect what you do , Photographers may use an easel and large photo frame , cake suppliers may us a table cloth printed with your LOGO and so on! There is no right or wrong way but keep your options open as spaces at different shows can vary, venue restrictions can also come it to play…. be flexible this will endear you to the organisers, the venue and the visitors!

Arrange Your Display Table Properly

Arrange your wedding show display table in levels. Put the larger items at the rear, shorter items in front of those, and even shorter items in front of those.

Use Video or Slide Shows to Draw Attention

Develop a video or slideshow presentation to display on TV monitors in your stand. There are various stands and racks available for mounting flat screens for wedding shows but again be sure to check with the organisers regarding your location. Erecting high stands in the middle of rooms or in front of windows not only cuts out light & hides the venue itself but can also represent a health and safety risk and you may be asked to take it down. .

Promote Your Attendance on Social Media

Use social media to let your customers know that you are participating in a wedding show and invite them to stop by and visit. If you are not using social media already see consider setting one up, its by far one of the most popular tools customers use currently to find service providers.

Have Plenty of Giveaways

Have plenty of wedding show giveaways, such as business cards, brochures, pens, magnets, and anything else that has your company name and/or logo on it.

Most people who attend wedding shows are expecting to take home some goodies. And be sure to use display racks for showing your flyers, specials, brochures, and such.

Offer Gift Certificates

Offer Gift Certificates for some of your services as a wedding show giveaway. There’s nothing better than getting a deal, and when they ‘cash in’ their certificate, they will see how valuable your services are and will come back for more.

Have a Draw Prize

Have a draw for a prize. Offer a prize that in some way complements your business if possible, and appeals to anyone. Have visitors and entrants sign a guestbook, fill in a ticket, or drop their business cards into a fish bowl or gift bag. The great thing about this wedding show giveaway is that you can then use this information at a later date to make a follow-up contact provided you follow GDPR guidelines.

Show Off Your Work

Have a portfolio of your work available as part of your wedding show display. Print off some of your best projects put them into plastic sheet protectors, and arrange them in a binder. Then lay out the binder where visitors can flip through the pages.

Have an Assistant

If the wedding show will be on for an extended length of time, be sure to have assistance in manning your stand so you can take a break. If you don’t have the option of having someone take over for a bit, be sure to put up a note that tells people how long you will be gone or when you will be back.

Welcome Your Visitors

Most importantly, be friendly and inviting. Say "Hi" to those that turn and look toward you or your wedding show stand. Strike up a conversation and be sure to have a short introductory speech ready. And have fun!


Please Trust the Organisers!

They are on your side, Organisers have to juggle all their exhibitors and much like a wedding day seating plan ‘you can’t please everybody’. Make sure you advise the organisers of any special requests in advance arriving on the day with special requests or emailing in the morning just won’t work, they will be busy getting ready for your arrival.

Please respect the organisers prices , advertising outlay and hard work

Remember they have to advertise!! You may feel your service deserves a FREE or discounted space but there is no point attending a show (even if it is for FREE / DISCOUNTED) if nobody turns up! Next time that organiser approaches you and you tell them you don’t want to attend as the last one was too quiet, remember it was you that tried or managed to relieve them of precious advertising budget in the first place! ‘sorry to sound grumpy but it’s the truth!’

You also don’t have a leg to stand on as regards positioning & stand size if you have not paid! Priority will always go to those who have put their hand in their pocket.

Here at Little Wren we are very lucky to personally know some of the best wedding cake designers in the local area, in fact they regularly attend our Wedding showcases, tempting brides into some tasty creations. However these truly beautiful cakes deserve to be presented in a way that seizes the attention of everyone in the room! It’s all about the Cake Stand

After spending all that time and money over your cake, it’s far too special to have it just sit on a table. A cake stand provides the perfect finishing touch, providing height and drama to your centrepiece.  Ensure you find a cake stand that’s the same size or a little bigger than the bottom tier of your cake for a picture perfect look.

Location, Location, Location

Your cake will most likely be on display throughout the day, so ensure you find a space where it can be the focal point of the room. Make sure your chosen place isn’t next to an in-use radiator, or any open windows, you wouldn’t a gust of wind to ruin your decorations, and heat can cause havoc on icing!

How many people does it take to pull off the perfect wedding? The truth is A LOT… From florists, hairdressers, musicians, to photographers, caterers, waitresses, we’re not sure even reached half way! As a couple you’ll invest trust in people you hardly know and expect them to excel in their job role, but how do you know if that trust is well-deserved?

At Little Wren we’ve worked with a number of prestigious wedding venues to organise spectacular weddings showcases, with only the best wedding vendors in that area invited to attend. As a result, you could say we’ve learnt a few tips on how to select the very best vendors, and thought we’d let you in on the secret too..

Be Cautious

People are always willing to offer their recommendations, but tread carefully. Your friends may have a very different style or standard than yourself. We would recommend doing your own research and drawing your own conclusions.

Pick up the phone

Once you have a list of potential vendors, ask them for the contact details of clients they’ve worked with over the past year. One or two recommendations will put you at ease with your choice, and help you foresee and plan for any potential problems that may occur.

Ask the Venue

Many venues have a great list of trialled and tested vendors for you to choose from - these vendors will have worked with the venue before, so they’ll already have a good idea on what does or doesn’t work. Don’t shy away from asking the venue direct questions, such as, “do you find this vendor easy to work with?”

First Impressions Count

Make sure you note down your first impression of a vendor. Did you feel you could be yourself around them? Did they appear confident? Your first impression can often be the right one, and it’s worth revisiting those instincts when making your final decision.

Here at Little Wren Company we certainly know a thing or two about wedding venues, and delivering excellent customer service. So we thought we’d put our knowledge to good use and create a check list of things to look out for when choosing the perfect venue for your special day.

The Two most Important Questions!

When making your appointment to visit the venue, ask first what their seating capacity is and whether your preferred date is free. These two questions will save you a lot of heartache, and are certainly worth knowing in advance.

Is it what you were looking for?

When presented with a beautiful venue it’s easy to get carried away but ask yourself whether this fits with your wedding vision. Some venues have an in-house co-coordinator who is on-hand to work with you and transform the venue to your taste, so it’s worth asking if this is a service they can provide.

Feeding the Masses!

Does the venue have in-house catering or will you need to hire your own caterers? Make sure you have an idea of the type of food you’re after before you visit the venue, whether it’s a sit down meal or a buffet, will the venue be able to accommodate this? Don’t forget the drinks – does the venue have a licence to consume alcohol?

Meet the Staff

You’ll have plenty of contact with the venue on the run up to the big day, so we suggest you make a point of meeting key members of staff. Make sure you find them approachable, happy to assist, and share your own sentiments on important points of the day – never underestimate good customer service!

Those Little Things that make a Big Difference

Like most brides we’re sure you already have an idea of what want on your big day. Perhaps it’s fireworks in the grounds, candles on the tables, a live band in the evening. Whatever those things are, even if you’re not sure you want them yet, make a note of it and ask the venue. Many venues have restrictions on activities and decorations due to their insurance, so it’s good to know in advance where their limitations are.
